Managing print costs
Managing print costs has many benefits to an organization which can result in print cost savings of as much as 20%
The areas where the bulk of your print cost savings will be evident are:
Abuse reduction: Awareness of reporting has shown reductions in print costs as high as 20%
Colour limiting: By using least cost print routing and imposing colour restrictions to certain users print costs can be dramatically reduced. The number 1 cause of colour abuse is printing documents that do not require colour on the colour setting. If a page has only 1 word in colour or the entire document is colour, it is billed as a colour copy.
Device analysis: By managing the device usage and ensuring that the devices are making use of the prints included in the minimum billing and rerouteing prints to underutilized devices achieves cost reductions. Each device is designed and costed to allow a certain number of copies, if you use less than the allocated amount you are still paying for the copies not printed. If you exceed your allowed prints, you are billed a premium per copy over and above the minimum billing.
These three areas will reduce your print costs and ensure that each device is operating at optimum levels and allows you to make informed choices on future requirements.
In many cases, by simply moving one machine to a different location can achieve significant savings by ensuring the device/s do not exceed their minimum billing allocations.
Below are a few examples of report types. These reports are available both as graphic representations and line representations making it easy to analyse at a glance and then to determine over usage or abuse, by department, user name, user code or workstation.
